Tasks
A task runs something for you without you having to ask: an assistant answers a request, a script runs, or a report is generated, once or on a recurring schedule. The result can be posted in the workspace’s group chat, sent by email, or saved to a knowledge base.
Open Tasks from the left rail. The page lists the tasks and jobs of your workspaces, with their schedule, their next and last run, and the status of the latest run. A job chains several tasks into one sequence.
Kinds of task
Section titled “Kinds of task”| Kind | What runs |
|---|---|
| Agent task | An assistant, with the request you write. |
| Script task | A script from one of your apps, with its inputs. |
| Report task | A report template from one of your apps, with its inputs. |
Example: a weekly newsletter in the group chat
Section titled “Example: a weekly newsletter in the group chat”Say your team wants an assistant to write a newsletter of the week’s news in your sector, and post it every Monday morning in the team’s group chat.
-
On the Tasks page, click Create task and choose Agent task.
-
Give it a title, such as Weekly newsletter.
-
Pick the workspace (project) of your team. The task belongs to it.
-
Turn on Post outcome to workspace chat. Every run, completed or failed, is announced in that workspace’s group chat.
-
Pick the agent, for example an assistant with the web search tool and your knowledge bases.
-
Write the request: what the assistant should do each time. For example: “Write this week’s newsletter: the five most important news items in our sector, each with a two-line summary and its source. End with what to watch next week.”
-
Click Create task, then add a schedule: Recurring, Weekly, on Monday at 8:00.
Every Monday, the newsletter appears in the group chat, where your team can discuss it and @mention the assistant to dig into an item.
Schedule a task
Section titled “Schedule a task”A task runs on its schedule:
- One-time: runs once, at the date and time you choose.
- Recurring: runs daily, weekly on the days you pick, or monthly on a day of the month, at a given time.
You can also run a task right away from the list, edit it, or archive it. Archived tasks are hidden from the list. Use Show archived to see them again.
Get the results
Section titled “Get the results”Depending on how you set up the task, each run can:
- post its outcome to the workspace chat, the group chat of the task’s workspace,
- notify people by email, users or teams you choose,
- save its output to a knowledge base (script tasks).
Agent tasks can also read their input from a data table and run once per row, then write the results back to a table.
Click a run to see its details: what was sent, what the assistant or the script did, and the result.
Tasks and the ticket board
Section titled “Tasks and the ticket board”In a group chat, the Ticket board app is a shared board for the work of the workspace. Switch the group chat from Chat to Board view to see it. Tickets move through the columns To do, Ready, In progress, Done and Failed, and have a priority, an estimate, a due date, tags, dependencies and attached knowledge.
A ticket can be handed off to an assistant, with a task linked to it:
-
Open the ticket and assign an assistant in On it.
-
Under Hand the work off, click Create task. The task belongs to the ticket’s workspace, and runs the assistant on the card. Click Create job instead for work in several steps.
-
Move the ticket to Ready. A ticket assigned to an assistant can’t move to Ready until a task or a job is linked.
When the task runs, its outcome is written to the ticket as its result, instead of being posted in the chat (you can still turn that on). On the Tasks page, a linked task shows the ticket that assigned it, with a link to open the board.
Tickets and their tasks follow each other:
- If a ticket depends on other tickets that aren’t done, its task waits and doesn’t run until they are.
- Archiving a ticket pauses its task’s schedule. Restore the ticket and resume the schedule to start it again.
